How Our Water Bill Review Works

Three simple steps: send us up to 12 months of water bills, we review the charges and usage, and you receive a clear summary of possible findings.

Our process is designed to take as little of your time as possible. You send us your bills, we do the detailed work, and you receive a clear, plain-English summary. Here is exactly what happens, what we need from you and how we look after your information.

The three steps

  1. Submit up to 12 months of bills. Use our secure bill upload page to send your business water bills. Twelve months gives us the clearest view of seasonal patterns and reading history, but fewer is fine – send whatever you have and we'll tell you if more would help.
  2. We review your charges and usage. We go through the bills line by line, checking meter readings, consumption, wastewater and surface water drainage charges, tariffs, standing charges and billing periods.
  3. You receive a summary of possible findings and opportunities. We send you a written summary explaining anything that may be incorrect, any opportunities to reduce future costs, and what you could do next.

What to expect from the review

Once your bills arrive, we'll confirm we have received them and let you know if anything is missing or hard to read. We may ask a few short questions about your premises – for example how rainwater drains from the site, whether you have more than one meter, or whether your use of the building has changed. These details help us judge whether the charges make sense.

We'll explain any fees before any work goes ahead. You stay in control throughout: nothing is submitted to your retailer or water company on your behalf without your agreement.

What your summary includes

  • An overview of what you are being charged for and how the charges are calculated.
  • Any possible errors or overcharges, with the reasoning and evidence behind each one.
  • Possible future savings opportunities, such as allowances, rebates or tariff checks.
  • Consumption patterns that may point to a leak or avoidable waste.
  • Suggested next steps, including who you would need to contact.

We are straightforward about outcomes. Some reviews identify issues worth pursuing; others conclude that the bills look broadly correct. Both are useful results, and we will not overstate what we find.

What documents help

The more complete the picture, the more thorough the review. Helpful documents include:

  • Water bills or invoices – ideally covering the last 12 months, including all pages and any charge breakdowns.
  • Account statements – showing payments, credits and adjustments.
  • Your own meter readings or photos of the meter – useful for comparing against billed reads.
  • Correspondence with your retailer or water company – for example about estimated bills, disputes or allowances.
  • Site information – such as the number of meters, site plans or details of drainage, if you have them.

PDFs, scans and clear photos are all fine. If you're not sure how to read your bill, our guide how to read a commercial water bill explains the main sections. For organisations with many premises, see our multi-site water bill review.

How your documents are handled

Water bills contain business information, and we treat it with care.

  • Secure upload – bills are sent through our upload page over an encrypted connection.
  • Limited use – we use your documents only to carry out the review you have asked for and to communicate with you about it.
  • Limited access – only the people working on your review can access your documents.
  • No selling of data – we do not sell your information or pass it to suppliers or third parties for marketing.
  • Your rights – you can ask us what we hold and request that it is deleted, subject to any legal obligations.

Frequently asked questions

Do I need 12 months of bills?

No. Twelve months gives the fullest picture, but fewer is fine. Send what you have and we'll tell you whether anything else would make the review more reliable.

What file formats can I upload?

PDFs, scanned documents and clear photos of paper bills all work. Please include every page, as charge breakdowns and meter details are often on the back or later pages.

Will you contact my water supplier?

Not without your agreement. We review your bills and send you a summary. If you decide to raise anything with your retailer or water company, we'll discuss how we can support that before anything happens.

How long does a review take?

It depends on the number of bills and sites and how complete the information is. We'll give you an expected timescale when we confirm receipt of your bills.

What happens to my documents after the review?

We use them only for your review and keep them secure. You can ask us to delete them, subject to any legal record-keeping requirements. Our privacy policy explains this in full.

Is there a charge?

We'll explain any fees before any work goes ahead, so you can decide whether you want to proceed.
